How to stop missing sales follow-ups

A practical system for tracking every open deal, setting a clear next action, and following up without relying on memory.

Why this matters

A missed follow-up rarely feels like a major decision. You finish a call, move to the next task, and assume you’ll remember to get back in touch. A week later, the opportunity has gone quiet.

The solution is not to send more emails to everyone. It is to make the next action visible for every active deal.

Give every deal a next step

After a sales conversation, record three things:

What the buyer needs from you.

What you agreed would happen next.

The date when you need to act.

“Follow up soon” is not a useful next step. “Send the revised proposal on Tuesday” is.

Review by action, not just by stage

A pipeline board shows where deals sit. It may not show which ones require attention today. Review overdue tasks, deals without a next action, and opportunities that have been sitting in the same stage longer than expected.

This lets you work from a short action list rather than rereading every deal.

Make the message relevant

Before following up, check the last conversation. Reference the question, objection, proposal, or timing you discussed. If nothing has changed, you can still ask a clear question—but don’t pretend there is an update when there isn’t.
