A practical checklist for switching CRMs

A step-by-step checklist to plan a CRM change without losing sight of active deals, data quality, ownership, and next actions.

Why this matters

A CRM switch is not finished when the import finishes. It is finished when your team can continue working its active deals with confidence.

Use this checklist to plan both the data move and the change in daily workflow.

Before exporting

List the records and fields you rely on.

Identify important information that may not transfer through CSV.

Decide who owns the migration and who will check the results.

Keep a backup of the source system’s data.

Before importing

Clean obvious duplicates.

Check date and currency formats.

Map companies, people, deals, owners, stages, and custom fields.

Choose a test batch that includes imperfect records.

After the test import

Open several imported deals and inspect their linked records.

Check values, stages, owners, and close dates.

Review created, updated, and skipped rows.

Fix mapping problems before importing the remaining records.

Before your team switches over

Confirm where new deal updates should be made.

Check every active deal for a next action.

Make sure your team knows how to find today’s work and review the forecast.

Decide when the old CRM becomes read-only.

RevenueRobotics lets you preview CSV records and field matches, check for duplicate people and companies, and review the import summary. That helps with the data move; your team should still test the sales workflow before committing to a switch.
