Why B2B SaaS sales need a different kind of CRM
B2B SaaS deals are rarely one-call closes. They involve multiple contacts at the same company, weeks of back-and-forth, trials, procurement and renewals. A CRM for a B2B SaaS startup has to track companies and the people inside them, not just a flat list of leads.
It also has to survive your growth: the process you set up with two founders selling should still work when you hire your third salesperson.
The five questions to ask before choosing
1. Can we import our existing contacts and deals in an afternoon? If migration is a project, adoption dies before it starts.
2. Can we see the pipeline as a board and edit deals inline? If updating a deal takes five clicks, nobody updates it.
3. Does it create follow-up tasks automatically when deals move? Dropped follow-ups are where most startup revenue leaks.
4. Can we get our data back out as a CSV? Lock-in is a red flag for a company whose process will keep changing.
5. Does the pricing scale per seat without forcing an annual enterprise contract? You want to pay for what you use this quarter.
Features that matter — and the ones that don't yet
Matter: company and contact records, a drag-and-drop deal pipeline, tasks with due dates, full-text search, simple reports (pipeline value, win rate, forecast) and data export.
Don't matter yet: territory management, quota modeling, multi-team permissions, custom object builders. These solve problems you will not have until your sales team is well past ten people — and they make the product harder to learn today.
Test it with real deals for one week
Whatever you shortlist, run a real trial: import your actual pipeline and use only that tool for a week. If the team is still opening it daily on day seven, you have your answer. If it's quietly abandoned, no feature list will save it.
