How to choose the best CRM for a startup in 2026
A practical checklist for founders picking their first CRM: what to track, what to skip, and how to avoid a tool your team never opens.
Start with the questions you need answered
Before comparing feature lists, write down the three questions you ask every week: Which deals will close this month? Who haven't we followed up with? Where do our best customers come from? A CRM is only useful if it answers those questions in seconds.
Most early-stage teams need companies, people, deals and tasks. Anything beyond that — territories, quotas, complex permissions — can wait until you have a sales team bigger than five.
Adoption beats features
The most expensive CRM is the one nobody updates. Choose a tool with inline editing, a drag-and-drop pipeline and fast search, so logging a call takes less time than writing it on a sticky note.
Run a one-week trial with real deals. If your team isn't opening it daily by day five, it's the wrong tool.
Plan for switching
Make sure you can import a CSV from HubSpot, Pipedrive, Attio or a spreadsheet — and export your data just as easily. Lock-in is a red flag for a young company that will change its process many times.
